We collect the following information to provide our tuition services:

  • Identity Data: Name and date of birth (to ensure appropriate course placement).
  • Contact Data: Email address and parental contact details (where applicable).
  • Financial Data: We use Stripe to process payments. We do not store your full credit card details on our servers; however, we receive transaction metadata (e.g., your name, billing address, and the last 4 digits of your card).
  • Educational & Behavioral Data: Through Paid Memberships Pro and GamiPress, we track your membership level, course progress, and attendance logs (achievements).
  • Technical Data: IP address and browser type (via WordPress cookies).

2. How Do We Collect Your Data?

You provide most of this data directly when you:

  • Register for a membership or tuition group.
  • Log in and interact with lessons (logging attendance via GamiPress).
  • Communicate with us via email or social media.

We also receive data indirectly from:

  • Stripe: To confirm payment success.
  • Third-party tools: Isaac Physics, Whiteboard.fi, and YouTube (if you interact with our content there).

3. How and Why We Use Your Data

We process your data based on Performance of a Contract (to provide the tuition you paid for) and Legitimate Interests (to monitor student progress).

  • Enrollment: Managing your access via Paid Memberships Pro.
  • Progress Tracking: Using GamiPress to reward attendance and log achievements.
  • Communication: Sending lesson links, feedback, and course updates.
  • Marketing: Only if you have opted in, we may send you information about new courses. You can unsubscribe at any time.

4. How We Store and Share Your Data

Storage

Your data is stored in two primary locations:

  1. WordPress.com Servers: Your account profile, membership status, and GamiPress attendance logs are stored in our website’s database.
  2. OneDrive: Used for administrative records and backups of student work.
  3. Zoom Recordings (Astronomy Students only): If you participate in the GCSE Astronomy Observation Verification, a video recording of your session is captured. These recordings are stored with end-to-end encryption and are used solely for safeguarding and verification of academic integrity. They are not shared with third parties except where required for exam board audits or safeguarding reports. The sessions are recorded and stored on Zoom’s secure cloud servers. Zoom is a third-party processor based in the USA. We ensure that appropriate safeguards (such as Standard Contractual Clauses) are in place to protect this data. These recordings are set to “Private” and are only accessible by Keith.

Third-Party Processors

We share data with the following “Processors” to run the service:

  • WordPress.com: Website hosting.
  • Stripe: Payment processing.
  • Microsoft (OneDrive): Secure file storage.

We never sell your data to third parties.

5. Data Retention

We keep your personal data and attendance logs for one year after your last interaction with us. After this period, your account and associated GamiPress achievements will be permanently deleted unless we are legally required to keep financial records for longer (e.g., for tax purposes).

6. Children’s Privacy

Our services are often used by students under the age of 18.

  • Children under 13 are not permitted to use Physics With Keith.
  • We encourage parents to monitor their child’s use of the site and GamiPress “achievements.”

7. Your Data Protection Rights

Under GDPR, you have the right to:

  • Access: Request copies of your data.
  • Rectification: Ask us to correct any errors.
  • Erasure: Ask us to delete your data (the “right to be forgotten”).
  • Object/Restrict: Limit how we process your data.

8. Cookies
